When you register for a Readers Roast account, we collect only the minimum data necessary to set up and maintain your user profile. This information includes:

  • Username: A unique identifier selected by you.
  • First and Last Name: Used for display on your profile and public review listings.
  • Email Address: Required for account confirmation, password resets, and any administrative notifications (e.g., if you submit a new book review).
  • Password: Stored in hashed form; never visible in plain text to anyone, including site administrators.

We do not collect any other personal details—such as mailing addresses, phone numbers, payment information, or demographic data—unless you voluntarily provide them in a profile field or review form (which is also optional).


3. How We Use Your Information
We use the data you provide only to:

  1. Create, authenticate, and maintain your account.
  2. Send you necessary administrative emails (e.g., account activation, password reset links).
  3. Notify you of your review status (pending approval, approved, or rejected).

We do not use your information for any marketing, advertising, or analytics purposes. We will never sell, rent, or lease your personal data to third parties.


4. Data Sharing & Disclosure
We treat your information as strictly confidential and do not share it with any third parties, except as required by law or to comply with valid legal processes. Specifically:

  • Service Providers: We do not engage external services to process or store personal data (all user credentials and profiles are maintained on our own hosting).
  • Legal Requirements: We may disclose information if required by a court order, government request, or if we believe disclosure is necessary to prevent illegal activity or protect someone’s safety.
  • Administrative Access: Only site administrators with the “Administrator” role in WordPress can view your email address and profile data in the WordPress dashboard. Subscribers and other user roles cannot see any account details beyond public display name and reviews you have submitted.

5. Data Retention

  • Account Information: We retain your username, name, email address, and password hash for as long as your account remains active.
  • Review Data: Any reviews you submit (including book title, content, star rating, category, and cover image URL) are stored indefinitely, even if you delete or deactivate your user account—unless you request their deletion (see “Data Deletion” below).
  • Inactive Accounts: If you have not logged in for 12 consecutive months, we may send a reminder email. If you do not respond or log in within 30 days of that reminder, your account may be deactivated. Upon deactivation, your email and password hash are permanently deleted. Your public reviews remain published unless you request their removal.

6. Security Measures
We implement reasonable technical and organizational safeguards to protect your information from unauthorized access, alteration, or destruction, including:

  • Encrypted Password Storage: All passwords are hashed using WordPress’s built-in password hashing functions.
  • SSL/TLS Encryption: If your site is properly configured with HTTPS, all data transmitted between your browser and the server is encrypted.
  • Access Controls: Only administrators can access user email addresses and profile details in the backend. Non-administrator roles cannot view any personal data.
  • Regular Updates: We update the plugin and recommend running the latest version of WordPress and PHP to benefit from security patches.

Despite these measures, no method of data transmission over the Internet is 100% secure. By using our site, you acknowledge and accept this inherent risk.


7. Cookies & Tracking
Readers Roast does not set any tracking cookies beyond the default WordPress authentication cookies required to maintain your logged-in session (e.g., wordpress_logged_in_*). We do not use Google Analytics, Facebook pixels, or any other third-party trackers. If your WordPress theme or other plugins use cookies, those are governed by their own respective privacy policies.


8. Third-Party Links
If you follow a link to any third-party site (for example, a book-cover image host or external resource), you should review that site’s privacy policy. We are not responsible for the practices or content of those external websites.


9. Children’s Privacy
Our service is not intended for children under 13. We do not knowingly collect personal data from anyone under 13. If you are a parent or guardian and become aware that your child has provided us with personal data, please contact us immediately so that we can delete that information.


10. Your Data Rights
Depending on applicable laws in your jurisdiction, you may have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Update or correct inaccurate or incomplete data.
  • Deletion: Request permanent deletion of your account and associated personal data. (Please note that deleting your account does not automatically remove the reviews you have published; you must request those separately if desired.)
  • Objection/Restriction: Object to certain processing or request that we restrict processing.
  • Portability: Ask for a machine-readable copy of the data you provided.

11. Data Deletion Requests
If you wish to delete your account and personal information from our system, please email us at cupocode@gmail.com with the subject line “Account Deletion Request.” In your message, include:

  1. Your username or registered email address.
  2. A statement that you authorize deletion of your account and personal data.

Once we verify your identity, we will:

  • Delete your user profile (email address and password) immediately.
  • Retain an anonymized copy of your reviews (removing your name and email) unless you request their removal.
  • Confirm via email when the deletion is complete.

12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. If we make material changes, we will post a notice on our website’s homepage (or send an email to registered users if appropriate). Your continued use of the service after such changes means you accept the revised policy.
